Privacy Policy
Last updated: July 2026
This explains what information your Passport collects, how it's used, and the control you have over it. It applies to anyone using getpassport.ai or the Passport app.
What applies today
Everything below is current, accurate, and what we hold ourselves to. It sets out what this product collects, what an employer can see when you share your Passport, how text messages work, and what we never do.
A longer Privacy Policy written by our lawyers will replace it. Until that is published we are not asking anyone to agree to it — a document you cannot read is not one you can agree to, and nothing in the Passport app claims that you have.
What we collect
To build your Passport, we collect:
- Identity information: your name, date of birth, government-issued ID, and a live photo for identity verification.
- Work history: job titles, employers, dates, and references you provide.
- Background screening results from our screening partners, based on your consent.
- I-9 and employment eligibility information, when you authorize a check through E-Verify.
- Availability and preferences: the roles, hours, and locations you're open to.
- Usage information: how you interact with the site and app, so we can keep it working well.
Location for job search. If you use "jobs near you" and enable location, your location is used on your device to find nearby openings for that search. It is not stored on our servers and is not shared with employers.
How we use your information
- Build and maintain your Passport
- Match you with jobs that fit what you're looking for
- Share your Passport with employers you choose to apply to
- Run the verifications and checks you've authorized
- Keep your account secure and prevent fraud
- Improve the site and app based on how they're used
We do not sell your personal information.
Who we share it with
Your Passport is shared only with employers you choose to apply to, and only the parts relevant to that application. We also share information with the service providers who help us run background checks, identity verification, and I-9/E-Verify, solely to perform those services on our behalf.
We may share information if required by law, or to protect the rights, safety, and security of Passport, our workers, or the public.
When a company opens the full record behind a link you shared, we record which company it was, and you can see that list on your own sharing page. We never tell you which person at the company opened it, and we do not record who an ordinary visitor is — the address they came from is scrambled before it is stored and cannot be turned back.
How we contact you
We send sign-in codes and, if you ask us to, a reference request to the person you named. We do not send marketing email and there is no list to be added to.
SMS / Text messaging
A sign-in code goes to your phone as a text message because you asked to sign in. That one is not something you opt into separately — it is the act of signing in, it is sent once per attempt, and it stops when you stop asking for it.
Everything else is optional and off unless you turn it on. When you create your Passport there is a separate, unticked checkbox reading: “I agree to receive text messages from Passport (by CleoHR) about my Passport, job matches, and verification status at the number provided. Message frequency varies. Message and data rates may apply. Reply STOP to opt out, HELP for help. See our Privacy Policy and Terms.” Ticking it is not required to build a Passport or to use anything here, and the sign-up screen says so beside the box.
If you opt in, we send text messages about your Passport, job matches, and verification status. Message frequency varies. Message and data rates may apply. Reply STOP to opt out at any time, or HELP for help. You can also turn text messages off in your account settings, which does the same thing.
Mobile opt-in and consent information is never shared with third parties or affiliates for marketing purposes.
We keep a record of when you opted in or out, from which screen, and the exact wording you were shown — currently version 2026-08 — so that what you agreed to can be checked rather than asserted. Withdrawing is recorded alongside the original rather than erasing it. It is used for that and for nothing else.
Your choices and rights
- See exactly what's in your Passport at any time
- Choose which employers can see it
- Request a copy of your information
- Ask us to correct inaccurate information
- Delete your Passport and account
To do any of these, contact us using the details below.
How long we keep it
We keep your information for as long as your account is active, plus a period afterward as required for legal, tax, or compliance recordkeeping (including I-9 retention requirements). When you delete your account, we remove or anonymize your information except where we're required to keep it.
Background checks and I-9 / E-Verify
Background checks are run by a consumer reporting agency on our behalf, in accordance with the Fair Credit Reporting Act (FCRA) and applicable state law. Before any background check is run, you'll be shown a clear disclosure and asked for your authorization. You have the right to receive a copy of your background report and to dispute inaccurate information directly with the reporting agency.
I-9 and E-Verify checks are used solely to confirm employment eligibility as required by federal law, and are shared only with the employer you're applying to.
How we protect your information
We use industry-standard encryption and access controls to protect your information, including bank-level security for identity verification. No system is 100% secure, but we work to keep your Passport safe and will notify you if we become aware of a breach affecting your information.
Age requirement
Passport is intended for people who are at least the minimum working age in their location. We do not knowingly collect information from children.
Changes to this policy
We'll update this page if this policy changes, and note the date at the top. If a change is significant, we'll let you know directly.
